I’m so excited to unveil this tried-and-true strategy that I’ve perfected over the past two decades. This approach has helped 1000’s of my clients navigate through years of paperwork.

 

From collections of the tiniest scraps to entire storage rooms filled with archive boxes, I’ve seen it all! I’m here to guide you through the steps of this simple and effective method for conquering your paper clutter.

 

As someone who has dedicated years to organizing and streamlining paper systems, I’ve developed a handful of techniques that allow you to swiftly sort without feeling overwhelmed. The goal is to make paper organization a manageable – and even enjoyable! – process 🙂

 

Did you know that people spend a significant amount of time each day searching for information amidst clutter? Imagine what it would be like to reclaim that time… maybe it’s an hour a day, which builds up to five whole hours a week. What would you do with all that extra time? You could finally be able to redirect it toward activities you truly enjoy but never have time to do or a side hustle you’ve been trying to get off the ground for years!

 

So let’s dive right into my top 10 strategies for decluttering your spaces and taming those unruly paper piles.

Sorting Paper Clutter With The F.A.S.T. System

 

 

  1. Start with the Visible Piles First

When tackling paper chaos, begin with what’s right in front of you. It’s tempting to dive into hidden storage spaces that we know are the fullest. But visible clutter is actually the perfect place to start as it will help our minds feel the best throughout the rest.

 

Whether it’s your kitchen counter, home office desk, or any other surface, designate one spot as your starting point (to make this even more efficient, gather all the scattered piles into one location, like a laundry basket). This strategy is about seeing quick and immediate progress. As you clear the visible piles, you’ll start to feel motivated by the transformation of the newly cleared surfaces! Starting with this visible clutter sets a positive tone for the rest of the process, and you can visually enjoy all your hard work along the way. Let those shoulders drop and release.

 

  1. Gather Your Supplies

 

Before you dive into the actual sorting process, ensure you have the right supplies at hand. Grab a few boxes, baskets, or bins – even a shoebox will do. You’ll also need post-it notes and a pen. Label each box: “File,” “Action,” “Shred,” “Recycling,” and “Other Room.” Setting up your sorting station streamlines the process and helps you make quick decisions about each piece of paper. This is because you’ll already have a place to categorize them for the next step.

  1. Implement the F.A.S.T. Method

 

Here’s where the magic happens🪄

 

F.A.S.T. stands for “File,” “Act,” “Schedule,” and “Toss.” So as you are sifting through your paper piles, apply this acronym to each piece. Does the paper require filing away for future reference? Is there an immediate action to take? Should it be scheduled into your calendar for a specific date? Or is it something to get rid of through recycling or shredding? The F.A.S.T. system cuts through the drawn-out decision-making process, making sorting much more efficient. Simply File, Act, Schedule, or Toss – repeat this mantra as you go through your papers, and watch your piles disappear.

 

  1. Pick Out The Bulk

 

To make the most significant difference in your paper piles, focus on thicker items first. Gather all magazines, binders, file folders, and bulky documents. By addressing these items early on, you’ll see a noticeable difference in the physical volume of your stacks. This visual progress serves as a great motivator to keep you going!

 

 

  1. Create Your “Action File System”

Designate a space for your “Action File System.” This will be the area for papers that require action but not immediately. Whether it’s a bulletin board or an in-tray, this simple system keeps your pending tasks front and center. Nearby, keep a stack of post-it notes and a pen handy. Each paper should have its next steps outlined clearly on a post-it note or written directly on the paper itself. These clear action steps ensure you don’t miss important tasks, won’t forget what you had to do with something, and help you to stay organized.

 

 

  1. Designate a Command Center

 

Establish a command center for new incoming papers. This central location (which could be a section of your kitchen counter, entryway table, or shelf) is where you’ll manage all the paper that enters your home. When deciding where this will be, think about where your most common “drop zones” are. Keeping an “in-tray” or basket here for mail makes it easy to sort as soon as it arrives, plus you’re already autonomously dropping papers there anyway. Easy habit change! By handling incoming paper at your command center often, you prevent clutter from spreading throughout your home and can streamline the sorting process.

 

 

  1. Going Paperless

 

Where possible, transition to a paperless system. Opt for digital statements, bills, and receipts when you can. Utilize your phone or a scanning device to digitize existing paper documents. While going fully paperless takes time, the long-term benefits in terms of reduced clutter are undeniable! If you’re a business owner like me, going paperless can even allow you to work remotely. Since I’ve been committed to going as paperless as possible, I’ve done about 80% of my business just through my smartphone.

  1. Stick to a Consistent Routine

 

To maintain an organized paper system, establish a regular routine to keep up with it. Designate a specific time each week to process your paper. Whether it’s Sunday evening or a half hour after work each day, setting aside time for paper management will ensure tasks don’t pile up and become overwhelming again.

 

 

  1. Schedule Time to Tackle Backlog

 

If you’re dealing with a backlog of papers, take a methodical approach. Set aside some time in your schedule to address this backlog whenever possible. Aim for an hour each week, then increase it to a few hours a week, or as much time as you’d like to dedicate to the paper project. Remember, this is an ongoing process, so be patient with yourself and your progress. as you work on solidifying these habits. It may take a while to reach your goals, but each day you make progress is another day closer!

 

 

  1. Involve Family Members

 

Share your paper management system with your family members. Ensure they understand how the system works and encourage their participation! Organization is a great thing to bond each member of a household and keep everyone on the same page. Plus it is a great skill to teach little ones!

Conquering paper clutter is 100% an achievable goal, and implementing these strategies will set you on the quickest path to success!

 

The key is consistency and customization. Tailoring your approach to fit your preferences and lifestyle will help you incorporate these new habits without a rough adjustment period. As you clear the paper piles and establish efficient systems in your home and office, you’ll be sure to enjoy more organized and stress-free living and working spaces!

How to Plan a Productive Week:

 

1️⃣ Task Batch Your To-Do’s

At the beginning of your week, put your to-do tasks into categories. It’s easier to use blocks of time to get a bunch of similar things done than it is to bounce back and forth between unrelated tasks. This method of planning will keep you productive and on-topic through everything you do!

2️⃣ Create a Relaxing Bedtime Ritual

Integrate regular relaxation practices like yoga or mindfulness meditation into your nightly routine for a productive week. A soothing relaxation exercise or two can work wonders in calming your mind before bed and promoting quality sleep. You’ll also be practicing how to calmly manage any stress and anxiety that may come up during your week.

3️⃣ Escape the Indoors – Get Outside!

It’s too easy to keep ourselves confined indoors for the majority of our day, which only holds us back from an otherwise productive week. So whenever you have the opportunity, resist the temptation of your couch and instead make an effort to step outside and immerse yourself in nature. There are countless benefits of spending time in the great outdoors for your overall health and well-being, so take your parents’ advice and “Go play outside!

4️⃣ Allow Yourself to Delegate

Most of us naturally want to do everything ourselves and it’s not always easy to ask for help. But don’t be afraid to ask for help or delegate tasks when possible. A productive week requires planning with and support from others, too. Recognize that you don’t have to do everything on your own and that having support from others can lighten your load.

5️⃣ Simplify and Declutter

Simplifying your environment and minimizing clutter will improve not only your physical spaces but your mental ones too. Make sure to go through both physical and digital clutter. Remember – a clean and organized space contributes to maintaining an aura of calm. Choose joy in the process of decluttering, organizing, and planning. Know that you’re doing great work toward a more productive week and a simplified life!

 

Now you can begin planning your week and seizing the full potential of each day!

 

It’s time for you to take action and finally embrace the opportunities that await you! Remember, these small changes and preparations will lead to BIG improvements in your daily routine. By implementing these small planning changes and dedicating some time to maintenance, you will see remarkable improvements in your daily routine and stress levels. It’s not easy to start, but once you do get into the swing of things, trust me, it will be even more difficult to quit! Remain focused on and dedicated to your goals so you can enjoy your free time with loved ones without worry in the back of your mind. Allow yourself “me-time” as often as you need and remember to stay committed to your new form of a productive week for continual results.

10 Ways To Stay Productive At Work Over the Holidays

As winter vacation quickly approaches, this is our perfect opportunity to think about how others may be living it a little differently than us.

 

Usually, the holiday season is bright and sparkly, illuminated by strings of lights and Christmas cheer! There’s special baking to be done, thoughtful gifts to be wrapped, and a mantle to be decorated.

 

But for some of us – this is just an idle dream on our wish list.

 

Special occasions marked down on a calendar don’t mean the world winds down for everyone!

 

We still need our doctors and nurses, firefighters, dispatchers, news personnel and their production crews, too. Just to name a few!

 

Outside of organizations that normally run 24/7 there are still so many of us that work through the holidays to keep the world flowing (a huge thanks to you all!🤍)

 

So in order for us to soak up as many drips of the holiday season as we can get,

 

Here are 10 ways to stay productive at work over the holidays:

 

 

1. Start your work day routine earlier

 

You will actually double your productivity when you take advantage of this strategy!

 

Think about it, what would work more effectively? Sleeping from midnight to 8am, or from 10pm to 6am? The latter would give you a two-hour jump on the day. So in order to squeeze the most out of your day and be as focused as you can be, make sure you are setting boundaries around when your work day will begin and end.

 

 

2. Say “no” to people-pleasing anxiety

It’s not easy to say “no” to taking more on during the holidays. You want everyone to enjoy their time, and for work to close up as smoothly as possible.

 

But when you’ve got too much on your plate already, one must stop to think about their own needs and wants. Be polite but straightforward when declining a task or event invitation that may overload you. A great way to be courteous while turning something down is to say, “Thank you for thinking of me, but I am planning on spending that time working on X project/watching my daughter’s Christmas performance.” This conveys to the person that you’re grateful for their invitation, but that you also already have your priorities set.

 

 

3. Stay focused and productive at work

In order to keep yourself accountable for anything, you must first determine a goal to be held accountable to.

 

First of all, if you’re feeling in a slump, get your body moving to jostle your brain functions into working effectively. If you’re feeling overwhelmed this is the best technique to help you stay productive at work over the holidays. Then focus on the hardest thing first, A.K.A. your primary project. That task you most dread. Just get it out of the way or at least complete a big chunk of it right off the bat! Make sure to give yourself a realistic window of time for each thing on your to-do list and actually cut yourself off at that window.

 

 

 

4. Avoid getting distracted by thoughts

We all face distractions in the office (and our home offices). But even more so when the stresses of holidays and extended family come around!

 

To counter these distractions, remove anything that has distracted you in the past from your work area. This includes that eraser you’re always fidgeting with, your kids’ photos you reminisce with a little too long, and any loose papers that aren’t directly related to the task at hand. Put those items away in your desk for the holiday season and save them for January. Our goal is to be super productive and focused now!

5. Taking (important!) breaks from work

It’s important to take time off from work every now and then to relax and rejuvenate. A holiday is perfect for providing this much-needed break from your work days!

 

We spend a lot of time at work… so why do we feel guilty taking time off? You certainly deserve it. Even if you’re running your own business, it’s still vital that you’re taking time for yourself. As much as it may feel like it, you’re not shirking responsibility or becoming less focused on your goals. You’re taking care of yourself so you’ll have the stamina to be your best and work effectively once the holidays are over.

 

 

 

6. Shop early to avoid the “Christmas Creep

One of the risks of starting your shopping early is overbuying. But if you’re keeping track of your spending and who you’re buying for, this is no longer a worry.

 

Your best bet for having the most availability over Christmas is to look for sales now, shop online to avoid parking costs, and brainstorm creative ways to give the gift of experience. Gifts don’t have to cost a lot of money. You can bake a family member their favorite cookies or prepare a batch of healthy freezer-friendly snacks. You could type a list of restaurants to check out in the new year or create a “family favorites” recipe binder. Or give the gift of organizing with our Clear Out Your Clutter event in 2023! Think ahead – do you really want to sacrifice any of your enjoyment this holiday season? Instead of a cozy cup of hot chocolate while visiting with distant family, would you really rather be bustled around by a bunch of over-caffeinated shoppers? Choose to be productive now, you’ll thank yourself later.

 

 

7. Maintain your health during the holidays

Exercising is a great way to clear your mind. Not to mention the many health benefits that follow!

 

Being that we’re so busy around the holidays, meal prepping plays a huge role in our day-to-day energy! Food is quite literally our fuel, so you don’t want to be eating junk and slacking off at the gym now. The best way to combat energy fatigue is by finding ways to be active in your daily routine. You could have lunch in the park down the street, park your car further from wherever you go, and use stairs instead of an elevator.

 

 

 

8. Stop multitasking,
Learn how to prioritize and focus

A to-do list that’s way too long can leave you feeling exhausted just reading it all.

 

Instead of stressing about all the things you need to do today, prioritize just what’s important or has an immediate deadline coming up. Remember your focus is to stay productive at work over the holidays so you won’t be swamped when you return. Ask yourself, “What actually needs finishing this month?” Then get your mind focused and your hands dirty. Don’t forget to always keep your professional and personal tasks separate!

 

 

 

9. Manage interruptions from friends and family

Social media and texting are two of the largest distractions while at work.

 

Stay productive at work over the holidays by keeping your workday free from personal calls, texts, and emails. If you can’t manage this yourself, flip on the silent feature and store your personal cell in a desk drawer (lock it if you need to!). This way it’s completely out of sight and won’t be tempting you. Ask your loved ones to not call or text you during working hours unless it’s really dire.

 

 

 

10. Work Hard so you can Party Harder! 🥳

Why would we spend all of our energy working if there is no reward? We wouldn’t! This is where the “work hard, play harder” mentality is best adopted.

 

Above all the decorations and fancy dinners, the most important thing during any holiday is to make sure you’re truly enjoying quality time with your family. Let go of work when you’re not clocked in, it will all still be waiting for you whenever you head back.

 

Cherish the time you have with family, because you never know how many moments like these you will have left. 🤍
